Privacy Policy

How we handle personal data within the JobFuel platform and on this website.

1. Introduction

JobFuel is a recruitment advertising platform operated by The Social Grid B.V. ("JobFuel", "we", "us"). We take the protection of personal data seriously and comply with the General Data Protection Regulation (GDPR), the Dutch GDPR Implementation Act (UAVG) and the Dutch Telecommunications Act. This privacy policy explains which data we process, for what purposes, on which legal basis and what rights you have.

2. Who is JobFuel?

JobFuel is provided by:

3. Which data do we process?

Depending on how you use JobFuel, we process the following categories of personal data.

Account data

  • Name, email address, company name
  • Login status, role and permissions
  • Workspace or customer ID

Company and billing data

  • Company name, invoice address, invoice email
  • VAT and Chamber of Commerce number (if provided)
  • Wallet top-ups, payment status and invoices

Campaign data

  • Campaign name, job titles, locations, budgets and duration
  • Creatives, ad copy and Instant Form questions
  • Tracking parameters and campaign performance data

Candidate / lead data

  • Name, email address and phone number. In principle these are the only details we collect from candidates via a Meta Instant Form.
  • Any additional answers to questions the customer adds to the Instant Form themselves
  • The vacancy responded to, plus campaign and source attribution
  • Pipeline status (e.g. qualified, interview scheduled, hired, rejected) and notes
  • Meta lead IDs, form IDs and page IDs where required for processing
  • For the additional opportunity after rejection (section 7): the record of your consent, with date and time, how consent was given, the recruitment partner concerned, the purpose and where applicable the employee who recorded the consent

Technical data

  • IP address (when logged), browser and device information
  • Cookies, analytics events and session information
  • Log files and error logs
  • UTM parameters and Meta click IDs such as fbclid, fbp and fbc where used

AI / chat data

  • Prompts and messages you enter into AI features (e.g. AI Campaign Builder)
  • Generated campaign drafts and ad copy
  • Questions asked to the AI about campaigns

In principle we do not process special categories of personal data.

4. How do we collect data?

  • Directly from you (when creating an account, contacting us, requesting a demo, support, top-ups)
  • Through your use of the platform (campaign actions, pipeline actions, AI prompts)
  • Via Meta (Facebook/Instagram) when you respond as a candidate to a vacancy through a Meta Instant Form linked to the customer's Facebook or Instagram page
  • Via phone or other direct contact with you, for example when we ask your consent for the additional opportunity via a recruitment partner
  • Via Google (including Google Analytics on this website)
  • Via integration partners and webhooks that the customer enables themselves

5. Purposes for which we use data

  • Creating and managing accounts and workspaces
  • Delivering the JobFuel platform: campaigns, candidate pipeline, dashboards and reporting
  • Enabling the customer to contact candidates about the vacancy they responded to
  • Offering one targeted additional opportunity via a fixed recruitment partner after a candidate has not been selected, only with that candidate's prior consent
  • Requesting, recording and managing that consent
  • Wallet, payment and invoice processing
  • Passing quality signals (e.g. 'qualified', 'hired') to Meta for campaign optimisation
  • Security, fraud prevention, error detection and monitoring
  • Customer service and communication
  • Improving the platform and analysing usage
  • Complying with legal obligations (including tax law)

6. Legal bases under the GDPR

We process personal data on the following legal bases (art. 6 GDPR):

  • Performance of a contract: account and platform use, campaign management, wallet/payment.
  • Legitimate interest: security, fraud prevention, product improvement, operational logging and customer service.
  • Consent: cookies where required, marketing emails where required, optional integrations, external media (such as YouTube embeds) and making your contact details available to a fixed recruitment partner for the additional opportunity after rejection (section 7).
  • Legal obligation: administration, invoicing, tax retention obligations and regulator requests.

7. Candidates: applications and the additional opportunity after rejection

JobFuel is not a job board and does not offer a public candidate database. We run recruitment advertising for our customers and for fixed recruitment partners, including ads on Meta (Facebook and Instagram). Those ads may run via the Facebook or Instagram page of the customer concerned.

7.1 Your application for a specific vacancy

When you respond to a vacancy via a Meta Instant Form, we in principle only collect your name, phone number and email address. These details arrive in the JobFuel platform and are used so that the customer concerned can follow up and contact you about the vacancy you responded to. This privacy policy is included as the privacy link in the Instant Form.

  • The customer remains responsible for their own Facebook or Instagram page, the campaign content, any additional Instant Form questions and the assessment and follow-up of candidates.
  • JobFuel facilitates the collection, transfer, processing and display of candidate data within the platform.
  • JobFuel does not use candidate details for purposes other than those described in this privacy policy.

7.2 What can happen if you are not selected

If the customer rejects you or does not select you, JobFuel may decide to offer you one additional opportunity via a fixed recruitment partner who may have other suitable work for you. This does not happen automatically for every candidate and is assessed case by case.

Our aim is to prevent you from dropping out of the recruitment process after a single unsuccessful match. You are not:

  • made public;
  • placed in a public candidate database;
  • made available to all JobFuel customers;
  • or shared randomly with multiple parties.

It concerns only a targeted, limited additional opportunity via one carefully selected fixed recruitment partner.

7.3 Your consent first, the partner only after that

Before a recruitment partner gets access to your contact details or may contact you, we explicitly ask for your consent. This can be done by phone, among other ways. In that conversation we clearly tell you:

  • that your original application did not lead to a match;
  • the name of the recruitment partner;
  • that this partner may have another suitable opportunity for you;
  • that we would like to make your name, phone number and/or email address available for that purpose;
  • that this only happens if you agree.

You may refuse consent. This has no negative consequences for your original application. If you do not consent, we do not make your details available to the partner for this additional opportunity.

If you do consent, we record it appropriately, including:

  • date and time;
  • how consent was given (for example by phone);
  • the recruitment partner concerned;
  • the purpose you gave consent for;
  • and where applicable the employee who recorded the consent.

You can withdraw your consent at any time. See section 15 for how to do that and how to exercise your other privacy rights.

8. Meta, datasets and quality signals

When a candidate moves through the pipeline, JobFuel can send quality signals back to Meta via the relevant dataset/CRM event flow. Examples of such signals include 'qualified candidate', 'interview scheduled' and 'hired candidate'. This can help Meta receive better optimisation signals so that campaigns can optimise for candidate quality instead of only the number of sign-ups.

We make no guarantees about results; Meta determines itself how these signals are processed within its optimisation algorithms.

9. AI features

JobFuel offers AI features that can help with drafting campaigns, ad copy, Instant Form questions, recommendations and chat-based campaign advice (such as the AI Campaign Builder). This AI may use campaign data, dashboard data and your input to make suggestions.

  • Always review AI-generated content before publishing.
  • Do not enter unnecessary or special categories of personal data of candidates into AI chats.
  • For certain AI features we use external AI providers, including Anthropic and OpenAI. We also use our own AI models that we host ourselves. Where external providers are used, their own data processing agreement, privacy policy and regional settings apply.

10. Cookies, YouTube embeds and Google Analytics

On the JobFuel website we use various types of cookies and similar techniques.

Functional cookies

Necessary for login, session and security. No consent is required for these.

Analytical cookies

We use Google Analytics to understand how visitors and users use JobFuel, so we can improve the platform and the website. These cookies are only loaded after consent.

Marketing cookies

For advertising measurement and campaign attribution we may use Meta and Google tracking techniques. These are only loaded after consent.

External media (YouTube)

On some pages we use YouTube embeds. YouTube may set its own cookies and collect data according to Google/YouTube's policies. YouTube embeds are only loaded after you have given consent for the "External media" category. Without consent, a notice with a button to open your cookie preferences is shown instead of the video.

11. Integrations, Zapier and webhooks

Customers can enable integrations and webhooks (such as Zapier or an ATS connection) themselves. If a customer activates an integration, JobFuel can forward candidate and campaign data to the external system configured by the customer.

  • The customer is responsible for the receiving system and its lawful further processing.
  • JobFuel has no control over what the external ATS or webhook endpoint does with the data after it is sent.
  • We do not pass on unnecessary personal data and use the minimum required dataset per integration.

12. With whom do we share data?

We share personal data with providers that are necessary to deliver JobFuel. Per category this includes:

  • The customer whose vacancy you responded to, so that they can contact you
  • A fixed recruitment partner: only after your explicit consent and only for the additional opportunity described in section 7. We do not place candidates in a public or generally accessible candidate database and do not make candidate details available to all JobFuel customers.
  • Meta Platforms (Facebook, Instagram, Meta Business, Marketing API, Events Manager / datasets)
  • Google (Google Analytics, Google advertising products and YouTube)
  • AI providers: Anthropic, OpenAI and our own self-hosted AI models
  • Mollie for wallet top-ups and payment processing
  • Resend for sending transactional emails
  • Sentry for error logging and monitoring
  • Hosting: Hetzner Online GmbH, data centres in Germany (EEA). We manage our databases ourselves on this infrastructure.
  • Integration partners (such as Zapier and ATS connections) to the extent that the customer enables these

We do not sell personal data and only share what is necessary to deliver the service or to comply with a legal obligation.

13. Retention periods

  • Account data: on termination of the account the account data is deleted immediately, except for data we are legally required to retain (such as billing and tax data).
  • Billing and payment data: 7 years in accordance with tax retention obligations.
  • Candidate data: for as long as the customer keeps the Facebook or Instagram page connected to JobFuel and in accordance with the arrangements with the customer.
  • Candidate data for an additional opportunity: if you do not give consent, we do not use your details for this purpose. If you do give consent, we keep your details for this purpose no longer than needed to complete the additional opportunity, and delete them as soon as you withdraw consent.
  • Consent records: we keep the recorded consent for as long as needed to demonstrate that the processing was lawful.
  • Technical logs: maximum 90 days for security and troubleshooting.
  • Cookies: by default a maximum of 12 months, or shorter as specified per cookie in the cookie statement.
  • Marketing and website data: until you withdraw consent or the retention period of the relevant cookie expires.

14. Security

  • Encrypted connections (TLS) for traffic to and from the platform
  • Access control and role-based permissions
  • Workspace and customer isolation within the platform
  • Server-side API calls; no access tokens in the frontend
  • Restricted access for authorised team members, with logging and monitoring
  • Periodic review of security measures

We do not claim certifications we do not hold. Should a data breach occur despite our measures, we act in accordance with our internal procedure and the data breach notification obligation.

15. Your rights under the GDPR

Under the GDPR you have the right to:

  • access to the personal data processed about you
  • rectification of incorrect or incomplete data
  • erasure ('right to be forgotten')
  • restriction of processing
  • objection to processing based on legitimate interest
  • data portability (a copy in a common, machine-readable format)
  • withdrawal of previously given consent
  • lodging a complaint with the Dutch Data Protection Authority via autoriteitpersoonsgegevens.nl

Requests can be sent to support@jobfuel.nl. If your request concerns the application itself or the selection decision, you can also address the employer or agency the campaign is running for; they decide the recruitment procedure. JobFuel assists where possible and forwards your request where needed.

Withdrawing consent

If you gave consent to make your details available to a recruitment partner, you can withdraw that consent at any time via support@jobfuel.nl or by phone on +31 85 21 28 345. We will then no longer make your details available for this purpose. Processing that took place before the withdrawal remains lawful; we will ask the partner concerned to end contact if you wish.

Roles under the GDPR

For account data, billing data and platform use, JobFuel acts as data controller for its own platform operations.

For the original processing around your specific application (collecting your details via the Instant Form and making them available to the customer for that vacancy), JobFuel processes the data on the instruction of and for the customer. Depending on the arrangements and how they work out in practice, JobFuel may qualify as processor or as (joint) controller; we make no firm statement on this and record the role division per customer in our agreements.

The additional opportunity after rejection (section 7) is a separate processing activity with its own purpose and its own legal basis (your consent). For requesting and recording that consent and for making your details available to the recruitment partner, JobFuel acts as controller. The recruitment partner is then itself responsible for how it uses your details after receiving them and must inform you about that itself.

The customer is in principle responsible for, among other things:

  • their own Facebook or Instagram page and campaign content
  • the content of any additional Instant Form questions
  • the assessment and selection of candidates
  • the follow-up of candidates and further use of candidate data within their own organisation
  • their own privacy policy and its compliance within the recruitment process

JobFuel is in principle responsible for, among other things:

  • securing and keeping the platform available
  • processing candidate data within the purposes described in this privacy policy
  • requesting, recording and respecting consent for the additional opportunity via a recruitment partner
  • supporting requests for access, deletion or export where legally and technically possible

16. International transfers

A number of our providers, including Meta, Google, Anthropic and OpenAI, may (also) process personal data outside the European Economic Area (EEA). For these processing activities we refer to the terms and privacy documentation of those providers, including the safeguards they apply such as Standard Contractual Clauses and additional technical and organisational measures.

By using the JobFuel platform, the customer accepts that these parties are used and that their terms apply to the processing they carry out on their own behalf or on behalf of JobFuel, to the extent legally permitted.

For these parties we rely on the safeguards they themselves publish and apply, including Standard Contractual Clauses, the EU-US Data Privacy Framework (where applicable) and additional technical and organisational measures. By using the JobFuel platform the customer agrees that these providers are used according to their own terms and privacy policies. References:

17. Children

JobFuel is intended for business use by companies and employers and is not directed at children. We do not knowingly collect data from persons under the age of 16. If you suspect this has happened anyway, please contact us so we can delete the data.

18. Changes to this privacy policy

We may amend this privacy policy, for example when new features are added, legislation changes or new providers are used. For material changes we increase the version of our cookie/privacy settings and, where necessary, request your consent again. The most current version is always available on this page.
